Terms and Conditions


All prices are in US Dollars and are subject to change without previous notice. Prices are based per person, in double occupancy room, unless otherwise specified.


Rates mentioned in our quotation as optional tours are only valid for services booked in advance before arriving into the country. For Optional services booked and paid locally by travellers, the rates will be higher than the ones we previously sent to our company client and will be net.
Services booked on the spot by passengers can only be paid in cash or Credit cards, according to what will be informed to them locally.


According to Decree Nº 1043/16, foreign guests may benefit of VAT21% exemption over the room rate and the breakfast rate.
To apply this benefit, agents must send the copy of the passport at the moment of making the reservation, and guests must present the copy of their passports at the check in and must show the entry stamp in the country (No show penalties are excluded from this benefit).
In case of No Show or cancellation with penalty, the hotel will apply the VAT according to the selected rate type.


In Chile, hotels are tax free for foreign travellers.
When doing Migrations to enter Chile, passengers will receive the Migration Card from the PDI officers (Customs Officers). Travelers should keep that document with you until the last point of departure of the country.
Hotels will request that card together with the passport at the check-in so as to validate the exemption of the hotel tax.


Please be aware that in the Argentinean cities of Puerto Iguazu and San Carlos de Bariloche, tourists will have to pay an ECO TAX in each of the destinations, due to local governments resolutions.
Following the instructions provided by those local institutions, that tax will have to be paid locally and by the traveller, when checking-in at the hotel. The hotels will provide an invoice for that payment directly to the guest.
In the case of the Chilean destination of Easter Island, there is an ENTRANCE FEE TO THE RAPA NUI NATIONAL PARK that must be paid before arriving to that destination.

Depending on the accommodation selected, that fee can be included either by the same all-inclusive hotel or via us. Please, check with your appointed sales executive in case of any doubts in a specific reservation.
Following this, Easter Island also requires a form to be completed before your arrival, with the details of your stay and the hotel reservation. This form will be delivered by the authorities before arriving on the island.


Some services increase their rates during some holidays or special dates:

  • Carnival
  • Easter Week
  • National Holidays
  • Christmas Days (December 24th and 25th )
  • New Year’s Eve (December 31st and January 1st )
  • Special events in town.


Prices of air tickets are subject to change without previous notice until their final issuance. Flight schedules are subject to change by the airline companies up until the day of the flight. Additional restrictions, limitations, penalties and/or specific conditions may be placed by the airlines.


The itineraries are planned with great care, although, for operational reasons, it may be necessary to change the sequence of activities in the itinerary or the specified route. Although such cases are exceptional, in general the itinerary should be treated only as a basic guideline.


3.1 We highly recommend you to check with your local embassy or consulate about all the necessary documentation or vaccinations needed in the destinations you will be visiting.

3.2 In Argentina citizens from the People´s Republic of China no longer need to visit an embassy in order to obtain a tourist visa to visit Argentina BUT they need to pay for the ETA (Electronic Tourist Authorization) before entering the country. 3.3 In Chile, the reciprocity can be paid on the spot. Australian must pay at this moment, a reciprocity fee of USD 117.

3.4 In Brazil, please be advised that there is a list of countries whose citizens need a Tourist VISA to enter to Brazil. Please check it with your local embassy or consulate.


The passenger is responsible for obtaining passports, visas, travel insurance, payment of excess baggage, personal requests such as extra drinks, laundry service, communication (calls, faxes, emails, etc.), national and international airport departure taxes, gratuities, or other services and fees not specified in the itinerary.


Some services may be interrupted or cancelled due to climate conditions, force majeure reasons, acts of nature, strikes, etc., or others beyond the control of the hotels, airlines, other suppliers or Trips SouthAmerica or its associates. No reimbursements will be made as a result of such interruptions or cancellations that escape our control.


We highly recommend passengers to get a trip cancellation, travel repatriation and international medical insurances to cover any inconveniences that may arise during the trip. We also urge them to check with their doctor to update vaccines and review medical concerns regarding international travel.


Any reservation must include at least the following information about the passenger(s) or group:

  • Complete names and surnames
  • Nationalities
  • Passport numbers
  • Dates of Birth
  • Gender
  • Dietary restrictions, if any

7.1 We suggest you also to provide us a phone number and / or e-mail address to contact the passenger only while they are travelling, in case there are any last minute situations on the itinerary.

7.2 In the case there is a bus / coach service on regular service included in the itinerary, it is mandatory to provide us a mobile phone number of the passenger for us to contact them, should we need to reach them about any doubts while on that service.


  • FIT’s conditions apply to a set of nine or less travellers.
  • GROUP conditions apply to a set of ten or more travellers.


Full payment is required on behalf of Trips SouthAmerica:

  • 45 days prior to the date of arrival for FITs.
  • 60 days prior to date of arrival for Groups.

Payment constitutes the acceptance of the terms and conditions set out herein.

9.1 Exceptions:

  • All-inclusive hotels and Cruises, such as Cruceros Australis, require a deposit at the moment of confirming the booking. In general terms, all-inclusive properties ask for 30% from the gross rate but this amount will reconfirmed at the moment of the quotation.
  • Quotes that include services in Brazil and Uruguay may have special cancellation and prepayment conditions, different from the terms and conditions established by our company. These terms and conditions policies will be informed at the time of the booking confirmation.

9.2 IMPORTANT NOTE: Tighter pre-payment conditions and cancellation charges may apply to some specific dates, hotels and service providers. These conditions will be specifically mentioned by our travel consultant at the moment of your request.

10. PAYMENT METHODS (for Groups and FIT´s)

  • Wire transfers: Payments should be made by a WIRE transfer to a bank account. You may request the account data from your Travel Consultant.
  • Credit cards: Credit card payment is available; however, a “Signature on File” form must be filled in and sent to us in advance. This form authorizes us to charge our services to your Visa, Master Card or American Express. You may request this form from your Travel Consultant.

Since our quotations and services are offered at our most competitive rates, for credit card payments, we are forced to transfer the credit card rate, of 6%.


Notifications of cancellations and requests for reimbursements should be made in writing including all related information, and will receive immediate attention from us.


Different cancellation charges apply to the different hotels and service providers. Cancellation charges tend to rise as the date of arrival approaches. Trips SouthAmerica will do its best effort to keep these charges as low as possible, however, in general terms, these will amount to:


  • 60% if cancellation takes place between 45 and 31 days before the date of arrival.
  • 80% if cancellation takes place between 30 and 15 days before the date of arrival.
  • 100% if cancellation takes place between 14 and 0 days before the date of arrival.


  • 40% if cancellation takes place between 60 and 46 days before the date of arrival.
  • 60% if cancellation takes place between 45 and 31 days before the date of arrival.
  • 80% if cancellation takes place between 30 and 15 days before the date of arrival.
  • 100% if cancellation takes place between 14 and 0 days before the date of arrival.

All-inclusive hotels and cruises have specific cancellation fees and they vary according to the dates. This will be informed accordingly.
During high season, our company reserves the right to change our cancellation policies, if our suppliers apply tighter penalties on top of those stated above. Please, do not hesitate to ask for these details in each reservation.


Important: In case of delays in the meeting with the tour guide / driver or reprogramming in the transfers to / from airports, ports or bus terminals, due to reasons outside our own operation and caused by third parties, additional charges may apply. Some cases can be delays or changes of flights, problems in customs procedures and / or migrations, etc.


The special terms and rates for minors will be applied in each quote, as they are subject to the suppliers involved in each proposal.
Please note that the exact age at the moment f traveling (or date of birth) will be required at the moment of calculating the proposal, so as to not only select the suppliers with the best children policies, but to also provide the correct discounts for them, according to the age.


The tour operator and its agents act only as agents for passengers in all matters pertaining to transportation, accommodations or other services not provided directly by Trips SouthAmerica.
As agents, all tickets, exchange orders or vouchers are issued by them subject to any and all terms and conditions under which such means of transportation; accommodations or other services are offered or provided.
The booking agent, airlines involved and general agent will not be liable for any vehicle furnished by any such other party, firm or corporation in carrying out or failing to carry out arrangements previously agreed upon, nor for the negligent misconduct of any such other party, firm or corporation in providing or failing to provide, are not to be held responsible for any act, omission or event during the time passengers are not on board their conveyance.
The passenger contract in use by the airlines concerned, when issued, shall constitute the sole contract between booking agent, airline general agent and the purchaser of these and/ or passenger.
