Terms and Conditions

This is a general overview of our Terms and Conditions, please note they may vary for certain custom itinerary tours; if in doubt contact your Trips SouthAmerica consultant .

1. ITINERARY

Although our itineraries are planned with great care by our destinations experts, for operational reasons once the traveller has arrived in the destination, it may be necessary to change the sequence of activities. These changes are exceptional, and if they should happen, it will be with the sole aim to offer the best experience to the travellers.

2. PRICES

All prices are in US Dollars and are subject to change without previous notice. Prices are based per person, in double occupancy room, unless otherwise specified in each quotation, package, product, tariff guide, brochure, etc.

3. BOOKING DETAILS

Every reservation must include at least the following information about the passenger(s) or group:

• Passport copy.
• Flight schedule if they were not booked with us.
• Dietary restrictions, if any.
• Any other condition important for our travel experts to be aware of.

It is advisable to also provide us a phone number and / or e-mail address to contact the passenger only while they are travelling, in case there should be any last minute changes on the itinerary.

4. PAYMENT METHODS

We accept all credit cards (MasterCard, Visa, American Express) and wire transfers.*

Full payment is required on behalf of Trips SouthAmerica and it constitutes the acceptance of the terms and conditions.

Our regular deadlines for our land product are:

• 30% non-refundable deposit at the time of confirmation.
• Final balance is due 60 days prior to arrival.

Tighter and/or different deadlines may apply on specific tailor made tours. These conditions will be detailed by our travel experts in each particular case.

5. CANCELLATIONS AND REIMBURSEMENTS

Cancellations are subject to the following penalties of the full trip price:

• 30% non-refundable deposit due at the time of confirmation

• 45-31 days prior to arrival: 50% penalty

• 30 days or less prior to arrival: 100% penalty

Cancellation Fees may vary for certain custom itinerary tours; your Trips SouthAmerica consultant will specify cancellation fees prior to making your reservation.  Please, check with us if you have any doubts.

6. POLICIES AND FARES FOR INFANTS AND CHILDREN

The special terms and rates for minors will be applied in each quote, as they are subject to the suppliers involved in each proposal and the minor’s age.

A scanned copy of the child’s passport (as the rest of the family) is required so as to finalize the reservation.

7. SPECIAL DATES AND CONDITIONS

Some, destinations, services and hotels increase their rates and have tighter Terms and conditions during some public holidays, religious festivities or special dates.
In the case any quotation does not follow the regular deadlines and cancellations fees, our travel consultants will specify that.

Some of these special dates or events are:

• Carnival.
• Tapati Festival.
• Easter Week.
• National Holidays, variable in each country.
• Christmas Holiday (December 24th and 25th ).
• New Year’s Holiday (December 31st and January 1st ).
• Special events in each town.
• Sports events.
• Meetings and events with international importance.

8. PASSPORTS, VISAS, CUSTOMS AND EXTRAS

The passenger is responsible for obtaining passports, visas, travel insurance, payment of checked and/or excess baggage, personal extras at the hotel (drinks, laundry services and communication, etc.), national and international airport departura taxes, gratuities, tourist city fees, pier tax and any other services that were not specified in the itinerary.

If in doubt, please check with the appointed travel consultant who will clarify all the details.

9. VACCINATIONS

Please be advised that the vaccinations requirements are subject to change in each country and that it is the responsibility of the traveller and not Trips SouthAmerica to check about the requirements before the arrival. However, if you have any doubts, do not hesitate to contact one of our destinations experts who will assist you.

Additional to that, the WHO recommends the following vaccinations for travelers to South America: hepatitis A, hepatitis B, typhoid, cholera, yellow fever and rabies.

Some routine vaccinations are also recommended, such as: measles, mumps and rubella (MMR), tetanus, diphtheria and pertussis (Tdap), influenza, chickenpox, shingles, pneumonia, meningitis and polio. If in doubt, contact your doctor before travelling.

Proof of yellow fever vaccination may be required for some travelers, based on their specific itinerary. It is possible to find further details in the WHO website.

10. TRAVEL INSURANCE

We highly recommend passengers to get a trip cancellation, travel repatriation and international medical insurances to cover any inconveniences that might arise during the trip.
We also urge you to check with a doctor to update vaccines and review medical concerns regarding international travel.

11. LIABILITY CLAUSE

The tour operator and its agents act only as agents for passengers in all matters pertaining to transportation, accommodations or other services not provided directly by Trips SouthAmerica.

As agents, all tickets, exchange orders or vouchers are issued by them subject to any and all terms and conditions under which such means of transportation; accommodations or other services are offered or provided.

The booking agent, airlines involved and general agent will not be liable for any vehicle furnished by any such other party, firm or corporation in carrying out or failing to carry out arrangements previously agreed upon, nor for the negligent misconduct of any such other party, firm or corporation in providing or failing to provide, are not to be held responsible for any act, omission or event during the time passengers are not on board their conveyance.

The passenger contract in use by the airlines concerned, when issued, shall constitute the sole contract between booking agent, airline general agent and the purchaser of these and/ or passenger.
